Privacy Policy

Paint Pals LLC ("Paint Pals", "we", "us") makes estimating software for painting contractors, available at app.paintpals.app. This policy explains what information we collect, how we use it, who we share it with, and the choices you have. Questions go to shanewalter@thepaintpals.com.

Two kinds of people use Paint Pals

Subscribers are painting companies and their team members who have an account. Their customers are the homeowners and property owners whose details a subscriber enters to build an estimate, and who receive estimates, contracts, invoices and related messages through Paint Pals.

If you are a subscriber's customer, the painting company decided what information to collect about your project and is responsible for it. We process that information on the company's behalf and on its instructions. Contact the company first about your information; we will help them respond.

What we collect

• Account information. Your name, email address, phone number and password (held by our sign-in provider), your company name, logo, addresses and settings, and the payment method for your subscription (held by our billing provider; we never see full card or bank numbers).
• Content you put in. Contacts, estimates, measurements, prices, production standards, contract text, signatures, photos, files, notes, work orders and invoices.
• Customer information entered by a subscriber. Names, addresses, phone numbers, email addresses, project details, signatures and payment records for the people a subscriber does business with.
• Usage information. Pages visited, features used, browser and device type, and IP address, collected through our analytics tool. Analytics may include recordings of how a screen was used, with anything typed into a field masked. Our servers also keep standard request logs.
• Cookies. A sign-in cookie that keeps you logged in, a preference cookie that remembers layout choices such as a collapsed sidebar, and analytics cookies. The video player on our home page sets its own cookies when the video loads.

How we use it

• To run the service: build and store estimates, deliver documents to customers, collect signatures and payments, and keep a company's records.
• To send the emails and text messages a subscriber asks us to send to their customers, and the service emails an account needs (receipts, sign-in links, billing notices).
• To bill subscriptions and prevent fraud and abuse.
• To answer support requests and to understand how the product is used so we can improve it.
• To meet legal obligations and enforce our terms.

We do not sell personal information, and we do not use it for third-party advertising.

Text messages (SMS)

Paint Pals sends text messages when a painting company using our software shares a document with a customer by text, and related service messages about the same project: a link to view an estimate, a contract that is ready to sign, an invoice that is ready to pay, a payment receipt, or a copy of a signed contract. Each message identifies Paint Pals as the sender and names the painting company. We do not send marketing or promotional texts.

• Consent. A customer receives texts because they gave their mobile number to the painting company for their project and agreed to receive project documents by text. Consent is not a condition of buying anything.
• Frequency. Message frequency varies, usually a few messages over the life of a project.
• Cost. Message and data rates may apply.
• Opting out. Reply STOP to any message to stop receiving texts. Reply HELP for help, or email shanewalter@thepaintpals.com.
• Carriers are not liable for delayed or undelivered messages.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. The messaging provider that delivers our texts acts on our behalf and under our instructions, and is not a third party for this purpose.

Who we share information with

We share information with service providers that help us run Paint Pals, each only for its job and under a contract that limits what it may do with the data:

• Sign-in and account management (Clerk).
• Database, file storage and hosting (Convex and Railway).
• Subscription billing (Stripe). When a subscriber connects their own Stripe account, Stripe also processes the payments their customers make.
• Email delivery (Resend) and text message delivery (Twilio).
• Product analytics (PostHog).
• Address suggestions while you type an address (Google Maps).
• AI features (OpenAI and Anthropic). When you use the in-app help chat, AI drafting for emails or the Customer Hub, or lead intake by email, the relevant content is sent to these providers to produce the result. Our agreements with them do not allow them to train their models on your data.

We also share information:

• With a subscriber's own customers, in the documents the subscriber sends them, and with the subscriber's team members according to the roles the company sets.
• With services a subscriber chooses to connect, such as GoHighLevel or the Color Visualizer, in the way the subscriber sets up.
• When the law requires it, to protect people or property, or as part of a merger, sale or reorganization of our business, in which case this policy continues to apply.

How long we keep it

We keep a company's information for as long as its account exists. When a subscription ends, the account becomes read-only so the company can still view its estimates and contacts. A company's owner can ask us to delete the company's data at any time by emailing shanewalter@thepaintpals.com; we delete it from the live service and it ages out of backups in the normal course. Signed contracts and payment records that a company must keep are theirs to export before deletion.

Your choices

• Export. An admin can download a copy of everything a company keeps in Paint Pals from Settings, General, Export your data.
• Correct or delete. Edit information in the app, or email shanewalter@thepaintpals.com.
• Texts. Reply STOP to any message.
• Cookies. Your browser can block or clear cookies; signing in needs the sign-in cookie.

Depending on where you live, you may have additional rights, such as access, portability or objection. Email us and we will honor them.

Security

Information travels encrypted, is stored with providers that encrypt it at rest, and is limited to the people and systems that need it. No service can promise perfect security, so please use a strong password and keep it private.

Where information lives

Paint Pals is operated from the United States and our providers store information in the United States. If you use the service from elsewhere, your information is transferred to and processed there.

Children

Paint Pals is a business tool and is not intended for anyone under 18. We do not knowingly collect information from children.

Changes to this policy

When we change this policy we update the date at the top. If a change materially affects how we use your information, we email subscribers before it takes effect.
